Bidvio is owned and operated by Ogburn Tech BV ("Bidvio," "we," "us," or "our").
This Privacy Policy explains how we collect, use, store, disclose, and protect information when you use Bidvio's iPad and macOS applications, our marketing and billing website, and related services collectively referred to as the "Service."
Bidvio is a contractor estimating and appointment workflow platform designed for sales and operations teams. Bidvio helps contractor businesses manage customers, appointments, quotes, pricing, proposals, contracts, signatures, and related project documents.
By using Bidvio, you acknowledge that you have read and understood this Privacy Policy.
1. Who Uses Bidvio
Bidvio is intended for contractor businesses and their authorized users, including sales representatives, admins, managers, customer care users, and super admins.
Homeowners and customers do not create Bidvio login accounts. However, contractor users may enter homeowner, customer, property, appointment, quote, contract, and project information into Bidvio as part of their business workflow.
2. Information We Collect
We collect information you provide directly, information generated through your use of Bidvio, and information received from third-party services used to operate the Service.
Account Information
When a contractor user creates or uses an account, we may collect:
- Name
- Email address
- Phone number
- Profile photo URL
- Company ID
- Position or job title
- User role and permissions
- Authentication information
Passwords are handled through Firebase Authentication. Bidvio does not store raw passwords.
Bidvio supports authentication through email/password, Google Sign-In, and Apple Sign In.
Company and Team Information
We may collect contractor company and team information, including:
- Company name and account details
- Team members
- User roles and permissions
- Subscription status
- Billing status
- Account pause, cancellation, or scheduled deletion information
- Pricing settings
- Deposit settings
- Minimum job price settings
- Markup, profit, and pricing component settings
- Product and service information
- Product CSV data
Customer and Homeowner Information
Contractor users may enter customer or homeowner information into Bidvio, including:
- Customer names
- Phone numbers
- Email addresses
- Property addresses
- Mailing addresses
- Appointment details
- Project notes
- Quote details
- Contract details
- Consent and acceptance records
- Signature information
Customer records may include address fields such as street, city, state, ZIP code, country, region, latitude, longitude, and timezone.
Quotes, Appointments, Contracts, and Project Documents
Bidvio may collect and store information related to contractor workflows, including:
- Appointments
- Quotes and estimates
- Pricing calculations
- Products and services selected
- Scope of work
- Discounts
- Deposits
- Contractor and customer signature blocks
- Contract PDFs
- Notice of Right to Cancel documents
- Consent and acceptance documents
- Generated PDF files
- Files stored through Firebase Storage
Bidvio's pricing features use deterministic formulas and company-configured pricing settings. Bidvio does not use artificial intelligence to generate pricing recommendations.
Photos and Videos
Bidvio does not currently store customer property photos or videos.
We may add photo or video upload features in the future to support project documentation, estimating, property records, or related contractor workflows. If we add those features, uploaded photos and videos may be stored as part of customer, property, appointment, quote, or project records.
Payment and Billing Information
Bidvio uses Stripe for billing and subscription management. Payment processing, checkout, customer portal access, webhook handling, and subscription syncing are handled server-side through Stripe and Bidvio's cloud infrastructure.
Bidvio does not store raw credit card numbers in the app. Payment card information is processed by Stripe and subject to Stripe's own terms and privacy policy.
We may store billing-related information such as:
- Stripe customer IDs
- Subscription status
- Plan information
- Checkout status
- Invoice or billing status
- Payment confirmation or failure status
- Account cancellation or pause status
Stripe maintains its own separate legal system of record for payment, invoice, refund, dispute, and tax information related to your subscription. Stripe's retention of those records is governed by its own terms and applicable financial recordkeeping law. Bidvio's deletion or retention practices described in this Privacy Policy do not override Stripe's obligations to retain billing records.
Subscription Lifecycle, Pause, and Retention
Bidvio subscriptions are managed through a web billing portal. Contractor companies may pause an active subscription, cancel at any time, or let a trial lapse. When a subscription is paused or canceled, the company account moves to a retention window of up to 60 days during which company data is preserved and the subscription can be resumed or restarted without data loss. After the 60-day retention window ends, the company account becomes eligible for automated deletion subject to the legal retention considerations described in Section 11.
Pausing a subscription suspends the billing cycle. Bidvio's default pause behavior voids invoices that would otherwise become due during the paused period, so no charges accrue while a subscription is paused. Resuming a paused subscription returns the account to its prior billable state.
Annual plans are billed once per year. Bidvio's annual pricing is approximately equivalent to paying for ten months and receiving twelve. Annual customers who cancel mid-term retain access through the end of the paid annual period; refunds for unused annual time are not provided unless required by law or separately agreed in writing.
Bidvio may also offer a limited Early Supporter package as a one-time payment for lifetime access to the core service. Early Supporter accounts do not have a recurring subscription. They are not subject to the pause, cancellation, or 60-day retention window described above for recurring subscribers. Early Supporter access continues for the lifetime of the Bidvio service unless terminated under the Terms of Service.
Device, App, and Usage Information
When you use Bidvio, we may collect technical and usage information, including:
- Device type
- Operating system
- App version
- Crash reports
- Diagnostics
- Feature usage
- Performance data
- Authentication events
- Security-related logs
Bidvio uses Firebase services, including Firebase Analytics and Crashlytics, to understand app performance, diagnose issues, improve reliability, and maintain the Service.
3. Location Information
Bidvio does not track user location history.
Bidvio may request coarse device location permission to improve address autocomplete. This is used to bias address search results near the user's approximate area. Bidvio uses kilometer-level location accuracy for this purpose.
Bidvio may also store latitude and longitude as part of a saved customer or property address record. This represents the property or address location, not ongoing user tracking.
Bidvio does not use location data for driving routes, time tracking, jobsite verification, employee monitoring, or scheduling location history.
4. Files, PDFs, and Signatures
Bidvio may store files and documents created or uploaded through the Service, including contract PDFs, quote documents, signature records, acceptance documents, and related project files.
Contractor users are responsible for making sure they have the right to upload, store, generate, and send any customer information, signatures, files, or documents they place in Bidvio.
5. No AI Processing
Bidvio does not currently use artificial intelligence features. We do not send customer, quote, pricing, contract, or project data to OpenAI, Anthropic, Google AI, or similar AI providers for generation or model training.
If Bidvio adds AI-powered features in the future, we will update this Privacy Policy before using customer or business data for those features.
6. No SMS, Call Recording, or Voicemail Storage
Bidvio does not currently store call recordings, voicemails, or SMS message history.
Bidvio does not currently send marketing SMS messages.
If Bidvio adds SMS, calling, voicemail, or related communication features in the future, we will update this Privacy Policy as needed.
7. Push Notifications
Bidvio does not currently send push notifications.
We may add push notifications in the future to support team-wide operational notifications, such as new sales activity, new customer account assignments, task updates, appointment updates, or similar business workflow alerts.
If push notifications are added, users will be able to manage notification permissions through their device settings.
8. Marketing and Billing Website
Bidvio operates a marketing and billing website separate from the native iPad and macOS apps.
The website may collect information related to:
- Website visits
- Contact or support requests
- Billing portal activity
- Stripe Checkout activity
- Subscription management
- Firebase Analytics events
- Technical logs required to operate the website
The website is hosted using Firebase Hosting and uses Stripe Checkout for billing. Bidvio does not currently use Meta Pixel, Google Ads, TikTok Pixel, LinkedIn Ads, or other advertising pixels.
The native iPad and macOS apps do not rely on browser cookies in the same way a website does.
If Bidvio later adds advertising pixels, retargeting tools, optional cookies, or broader website analytics, this Privacy Policy will be updated as needed.
9. How We Use Information
We use information to:
- Provide, operate, and maintain Bidvio
- Authenticate users
- Manage contractor company accounts
- Apply role-based permissions
- Create and manage customers, appointments, quotes, contracts, and PDFs
- Generate pricing calculations based on company settings
- Store signatures, consent records, and acceptance documents
- Process subscriptions and billing through Stripe
- Sync subscription status
- Provide support
- Troubleshoot bugs and crashes
- Improve app performance and reliability
- Protect against unauthorized access, fraud, abuse, and security issues
- Enforce our terms and policies
- Comply with legal obligations
- Maintain business records
10. How We Share Information
We do not sell personal information for money.
We may share information in the following limited situations.
With Authorized Users Within a Contractor Company
Information entered into Bidvio may be visible to authorized users within the same contractor company account, depending on their role and permissions.
With Customers or Recipients Chosen by Users
If a contractor user generates or sends a quote, contract, PDF, acceptance document, or related project document through Bidvio, the relevant information may be shared with the intended recipient.
With Service Providers
We may share information with vendors that help us operate Bidvio, including:
- Firebase / Google Cloud for authentication, Firestore, storage, messaging, analytics, crash reporting, hosting, and cloud functions
- Stripe for billing and subscription management
- Google Sign-In for authentication
- Apple Sign In for authentication
- Apple MapKit and CoreLocation for address autocomplete and location-assisted address search
These providers may process information only as needed to provide their services to us, subject to their own terms and privacy practices.
For Legal, Safety, or Security Reasons
We may disclose information if we believe it is necessary to:
- Comply with law, court orders, or legal process
- Protect the rights, property, or safety of Bidvio, users, customers, or others
- Investigate fraud, abuse, security incidents, or unauthorized access
- Enforce our agreements and policies
Business Transfers
If Bidvio is involved in a merger, acquisition, financing, reorganization, sale of assets, or similar transaction, information may be transferred as part of that transaction.
11. Data Retention
We retain information for as long as reasonably necessary to provide Bidvio, maintain business records, comply with legal obligations, resolve disputes, enforce agreements, and protect our rights.
Bidvio is working toward supporting company account deletion within 30 days after a deletion request or scheduled deletion date, unless a longer retention period is required or permitted by law.
Paused or canceled subscriptions enter a retention window of up to 60 days during which company data is preserved. During the retention window the company may resume or restart the subscription without data loss. Company records that remain after the retention window expires become eligible for automated deletion, subject to any legal retention obligations that apply to those specific records (for example, signed contracts, acceptance documents, billing invoices, or dispute records).
Stripe records related to payment, invoices, refunds, disputes, and tax are retained by Stripe as a separate legal system of record according to Stripe's own terms and financial recordkeeping law. Bidvio cannot direct Stripe to delete records that Stripe is required to retain for regulatory purposes.
Because Bidvio stores business records such as quotes, contracts, signatures, customer records, and acceptance documents, some information may need to be retained for legal, accounting, warranty, dispute-resolution, consumer-protection, or compliance reasons.
At this time, Bidvio does not maintain a separate user-facing backup deletion schedule. If backup systems are added or formalized in the future, this Privacy Policy may be updated to describe backup retention practices.
12. Account Deletion and Access Controls
Bidvio supports user account deletion through Firebase Authentication.
Company admins or authorized users may revoke or manage access for users within their company account.
Deleting a user account may not automatically delete all company records, customer records, quote records, contract records, PDFs, signatures, or billing records associated with a contractor company account. Some records may be retained as company business records or as required by law.
13. Customer and Homeowner Deletion Requests
Homeowners and customers whose information is stored in Bidvio may contact Bidvio to request access, correction, or deletion of their personal information.
Bidvio will handle these requests directly where reasonably possible. In some cases, we may need to verify the requester's identity, confirm the relevant contractor company, or retain certain records where required or permitted by law.
Some customer-related records, such as signed contracts, acceptance documents, cancellation notices, invoices, or dispute-related records, may be retained when necessary for legal, accounting, warranty, consumer-protection, or legitimate business reasons.
14. Security
Bidvio uses reasonable technical, administrative, and organizational measures designed to protect information.
Bidvio uses Firebase Authentication for user authentication. Firebase services provide encryption in transit and at rest by default. Bidvio also uses role-based permissions to control access within contractor company accounts.
However, no method of transmission or storage is completely secure. We cannot guarantee absolute security.
Users are responsible for protecting their account credentials and devices.
Bidvio does not currently claim HIPAA compliance, SOC 2 certification, or PCI certification. Payment card processing is handled by Stripe.
15. Your Privacy Rights and Choices
Depending on your location and applicable law, you may have the right to:
- Request access to personal information
- Request correction of inaccurate information
- Request deletion of certain information
- Request a copy of certain information
- Object to or restrict certain processing
- Withdraw consent where applicable
- Opt out of certain marketing communications, if any are offered

16. European Economic Area, United Kingdom, and Switzerland Users
Because Ogburn Tech BV is based in the Netherlands, users and individuals in the European Economic Area may have rights under the General Data Protection Regulation and related privacy laws.
Where applicable, we process personal information based on one or more of the following legal bases:
- Performance of a contract
- Legitimate interests
- Consent
- Compliance with legal obligations
You may have the right to access, correct, delete, restrict, object to processing, request portability of your information, and withdraw consent where processing is based on consent.
You may also have the right to lodge a complaint with your local data protection authority.
17. Contractor Responsibility for Customer Data
Contractor companies and their authorized users are responsible for the customer, homeowner, property, quote, contract, and project information they enter into Bidvio.
Contractor users are responsible for:
- Obtaining any required customer consent
- Ensuring information entered into Bidvio is accurate and lawful
- Reviewing quotes, pricing, contracts, PDFs, and acceptance documents before sending or relying on them
- Complying with applicable consumer protection, cancellation, contracting, privacy, and recordkeeping laws
Bidvio provides tools for creating and managing contractor workflows, but Bidvio does not provide legal, tax, financial, or contracting advice.
18. Pricing and Contract Disclaimer
Bidvio may calculate pricing using company-configured settings, including pricing components, markups, profit settings, deposits, minimum job prices, minimum profit requirements, and discount rules.
These calculations are based on information configured or entered by the contractor company and its users. Contractor users are responsible for reviewing pricing, estimates, proposals, contracts, notices, and acceptance documents before presenting them to customers or relying on them.
Bidvio may generate documents that include customer signatures, contractor signatures, consent language, acceptance language, and Notice of Right to Cancel materials. Contractor companies are responsible for ensuring those documents are suitable for their business, services, jurisdiction, and legal obligations.
19. Children's Privacy
Bidvio is not intended for children under 13. We do not knowingly collect personal information from children under 13.
20. U.S. and International Use
Bidvio is operated by Ogburn Tech BV from the Netherlands and may use service providers located in the United States and other countries.
If you use Bidvio, your information may be transferred to, stored in, or processed in countries other than where you live. Those countries may have privacy laws that differ from your local laws.
21. California Privacy Notice
If you are a California resident, you may have rights under California privacy law, including the right to know, access, correct, delete, and opt out of certain uses of personal information.
Bidvio may collect the following categories of personal information:
- Identifiers, such as name, email address, phone number, account ID, customer ID, and address
- Commercial information, such as quotes, contracts, billing status, subscriptions, and transaction-related records
- Internet or electronic network activity, such as app usage, diagnostics, crash logs, and analytics events
- Geolocation information, limited to coarse location for address autocomplete and saved property address coordinates
- Professional or employment-related information, such as position, company role, and permissions
- User-generated content, such as project notes, contract PDFs, signatures, acceptance documents, and uploaded files
Bidvio does not sell personal information for money.
If Bidvio later uses advertising pixels, retargeting, or cross-context behavioral advertising, this section will be updated to include any required "Do Not Sell or Share My Personal Information" rights.
22. Changes to This Privacy Policy
We may update this Privacy Policy from time to time. The updated version will be posted with a revised "Last Updated" date.
If we make material changes, we may provide notice through the Service, by email, or by another reasonable method.
